Description

Position Summary and Essential Functions:  Assist Project Managers in planning, preparing, organizing, and maintaining project documentation.  Responsible for ensuring correspondence is properly distributed among Project Managers, as well as creating and maintaining reports and carrying out other construction-related administrative duties as necessary.  

Duties and Responsibilities:

  1. Maintains and monitors project records, including transition from paper filing to electronic filing.
  2. Assists with the preparation of subcontracts, material purchase agreements, submittals, and change orders.
  3. Ensures submittals, O&Ms, “As-Builts”, and all close-out documents are provided and submitted.
  4. Maintains and updates project schedules, using computerized scheduling software.
  5. Maintain a log on submittals, Requests for Information (RFIs), and potential Change Orders to ensure timely response.
  6. Ensures memos, faxes, emails, meeting minutes, and conversations are promptly distributed to those who need to know.
  7. Coordinates, schedules and prioritizes tasks.  Multi-tasks, learns and performs routinely with computer software.  Works under deadlines.
  8. Communicates with job supervisors, project managers, subcontractors, owners, and engineers.
  9. May assist in the implementation of project planning, project management, and project bidding software.
  10. Assists with computer generated drawings.

Qualifications:

  1. Some post high school education in office/construction/architectural work preferred.
  2. Strong written and oral communication skills required.
  3. Solid math and analytical skills required.
  4. Effective record keeping and document management skills required.
  5. Strong Excel skills are required, and proficiency in other Microsoft Office products necessary.
  6. Some previous support experience in a construction environment is a plus.
This position will initially report to the Marshfield, WI, office for training purposes but will long term work out of the Wausau, WI, office.
